Privacy Policy
Last updated: February 13, 2026
1. Introduction
This Privacy Policy describes how the SMS Appointment Scheduler ("we," "our," or "the service") collects, uses, and protects your information. We are committed to transparency and do not share your information with third parties for marketing purposes.
2. Data We Collect
We collect the following types of data:
- Contact information: Phone numbers (in E.164 format), and when provided: first name, last name, and email address (e.g., when linking a Calendly account or when you share it during scheduling).
- Appointment information: Date, time, and status of appointments; provider and office identifiers; and, when applicable, identifiers from linked scheduling tools (e.g., Calendly event IDs).
- SMS content: The content of text messages sent and received through the service (e.g., scheduling choices, confirmations, and reminders).
- Office and provider data: For offices using the service: office name, phone number, timezone, and provider names and scheduling preferences.
3. How We Use Your Data
We use the data we collect only for the following purposes:
- Appointment scheduling: To create, confirm, modify, and cancel appointments and to send you relevant reminders and updates via SMS.
- Service operation: To match your messages to the correct office and conversation, manage availability, and operate the scheduling and messaging features.
- Integration with scheduling tools: If your office uses Calendly or similar tools, we use the minimum necessary data (e.g., availability, event details) to sync appointments and send you scheduling links or confirmations.
We do not use your data for advertising, profiling, or any purpose unrelated to providing the scheduling and communication service.
4. Third Parties and Marketing
We do not sell, rent, or share your personal information with third parties for marketing purposes. Your information is not used for third-party advertising or for marketing by us or any partner.
We work with the following types of service providers solely to operate the service (e.g., sending SMS, syncing calendars). They process data only as necessary to provide these functions:
- SMS delivery: A telecommunications provider (e.g., Twilio) is used to send and receive text messages. Message content and phone numbers are processed only for delivery.
- Scheduling integrations: If your office uses Calendly, we use their API to fetch availability and event data. Use of Calendly is subject to their privacy policy; we use only the data required to power scheduling and confirmations.
5. Data Retention and Security
We retain your data only as long as necessary to provide the service, comply with law, and resolve disputes. We use reasonable technical and organizational measures to protect your data against unauthorized access, loss, or misuse.
6. Your Rights
Depending on your location, you may have rights to access, correct, or delete your personal data, or to object to or restrict certain processing. To exercise these rights or ask questions about this policy, please contact the office that manages your appointments or the operator of this service.
7. Changes to This Policy
We may update this Privacy Policy from time to time. The "Last updated" date at the top of this page will be revised when changes are made. Continued use of the service after changes constitutes acceptance of the updated policy.
8. Contact
For questions about this Privacy Policy or how your data is handled, please contact the healthcare office or organization that provided you with access to this scheduling service, or the administrator of this application.
